Operations Executive

McLarens group is seeking an aspiring, energetic & a competent individual to join under Maritime & Logistics cluster as a Operations Executive.

Key Responsibilities

  • Promptly manage and respond to all communications received via Principles & Agents, ensuring timely actions and responses.
  • Prepare and coordinate with local office, agents , principles on vessel documentation, including customs OT applications and navigation charges.
  • Liaise effectively with principles , agents’ local office and overseas teams to ensure accurate and timely vessel and cargo-related documentation.
  • Prepare final custom OT payments based on throughput reports from terminals.
  • Attend to all pre-arrival messages, providing regulatory updates to vessels, ports, and relevant stakeholders.
  • Update ETA and berthing notices promptly via email and MS Teams to suppliers, vendors, and husbandry coordinators.
  • Coordinate internally to fulfill principal requirements from vessel arrival to completion.
  • Consult with vessel Master/Principal to confirm requirements and make necessary arrangements prior to arrival.
  • Coordinate with nominated vendors to ensure timely husbandry arrangements, minimizing operational delays.
  • Monitor work scope as per principal instructions, coordinating with principles, agents and local office for operational matters.
  • Coordinate with principles, agents and local office for follow-up matters, declarations, and communication with stakeholders.
  • Ensure accuracy  in documents and compile for smoother vessel formalities (e.g., OT forms/OT summaries).
  • Obtain timely approvals from authorities for special permissions (e.g., hot work, technical defects, lifeboat drills).
  • Ensure compliance with all relevant regulations and timely submission of required letters to authorities.
  • Monitor daily game plans, update vessel calls in GAC Agent system, and manage service activities such as crew sign-on/off and spares.
  • Maintain high standards in husbandry KPIs and provide updates to principals and stakeholders.
  • Remain on standby 24/7 to attend to operations and respond to emergency requirements, boarding vessels in and outside ports as necessary.

Qualifications and skills

  • Minimum of 1 year of hands-on experience in shipping agency or husbanding operations.
  • Fluent in spoken and written English.
  • Strong analytical abilities with proficiency in mathematics, essential for data interpretation and operational planning.
  • Proficiency in MS Office suite (Word, Excel, Outlook) and familiarity with relevant computer applications for operational management.
  • Excellent communication and interpersonal skills.
